DATA USE

Your projects belong to you.

How the current release uses account, project and file data.

Updated: October 30, 2026

Contact email notifications

Contact requests are stored in the site inbox. When configured, notifications send the submitted name, account email, topic and message to the site owner through Resend. This enables the owner to reply directly. Notification status records provider acceptance, not guaranteed inbox delivery.

Account sign-in

Authentication uses ChatGPT. The app receives your site-specific user ID, email and display name when available. It does not request or store your password. Project records are linked to this site-specific ID.

Community profiles and voluntary publishing

Community profiles store the display name, biography, location, professional links and photo you choose to provide. Email is not included in public profile data. Community posts are separate from private workspaces: only selected uploaded files and fields are copied. Public profiles and posts are visible without signing in; Community visibility requires a signed-in account. Private drafts are visible only to their owner. PDF sharing includes every page in the uploaded file.

Following, saved references, comments, replies, blocks and reports are stored against your account. Reports are available to the site owner for moderation. Blocking hides content between signed-in accounts; public content remains accessible while signed out. Authors can unpublish a post or make their profile private. Copies already saved elsewhere cannot be recalled. Community originals have a 100 MB per-account storage limit. Disabling downloads cannot prevent screenshots or other copying of visible content. Do not upload confidential or unlicensed material. Use Report on a post or profile to request review.

Projects and files

Projects, notes, reports, palettes and settings are stored in the service database. Uploaded files use object storage. Ownership is checked on server requests.

Crew invitations and notes

Project owners store an invited email and create a link valid for 7 days. Only an account with that email can accept. Accepted members can view the shot board and equipment, download all project files and write shared notes. Notes display author name and date. Editing remains with the owner. Owners can revoke access, but previously downloaded files cannot be recalled. Invitation links are shared manually; no email is sent automatically.

Images, GPS and EXIF

If optional EXIF reading is enabled during scout import, embedded camera, lens, date and GPS data can be read in the browser and added to the project. GPS is not automatically sent to map services. Check location and file information before sharing presentations or exports.

Browser data

Anonymous demo records from earlier versions use browser session storage. The Import Old Records option can copy older local projects into your account. Browser storage is separate from cloud records.

External services

Artemis, Cadrage, Sun Seeker, Shadowmap, ShotDeck, Frame Set and Shotmind links open external services under their own terms and privacy policies. Shadowmap loads only when opened. The app does not automatically synchronize those accounts.

Support requests

The support form stores your name, account email, category and message in the site inbox. The product administrator can view them. No automatic email or external message is sent. Records remain until deleted by the administrator.

Deletion and backup

Delete projects and files in the app, or download a JSON backup. Removing a card or archive entry does not always delete the original upload; check Files separately. Request account-related deletion through Contact. File limits are 20 MB per upload and 200 MB per account.

Sessions and analytics

No additional advertising or analytics tracking code has been added to the app. Hosting and authentication services use their own session and security mechanisms.

Trial and access records

The one-time trial stores your selected project and tool against your account. Deleting a project does not reset this selection. Subscription fields are reserved for verified monthly or annual access. Payments and automatic renewal are not enabled.

Mobile preview and device data

The mobile client stores a local copy of your account name/ID, project data, access status and pending edits on your device. Captured or selected images are resized to JPEG and kept on the device until you sync. Sync uploads the selected images and project edits using your existing web session and server access checks. Camera permission is requested only when you choose to take a photo. JSON backups contain project structure and notes; unsynced photo files remain on the original device. Cloud records and device drafts are separate.
